Information we receive

• Information you provide. When you email us or book a conversation, we may receive your name, email address, practice or organization, role, scheduling details, and the business information you choose to share. We may keep correspondence and notes from these conversations.
• Technical information. Website hosting and security providers may process your IP address, browser and device information, requested pages, request times, and security or error logs to deliver and protect the website.

The public website does not offer visitor accounts, payment checkout, or a form for uploading information. Our booking links open Calendly on a separate website.

How we use information

We use business contact and conversation information to respond to inquiries, arrange meetings, understand practice workflows, and follow up on requested or discussed work. Technical information supports website delivery, troubleshooting, reliability, and abuse prevention.

Who may receive information

Relevant Referral Desk team members and service providers may handle information for these purposes. Our current tools include:

• OpenAI Sites and Cloudflare for website hosting, delivery, and security.
• Calendly for meeting bookings. Booking information is made available to the meeting organizer.
• Google services for email, calendar, and business records.

These providers may also process information under their own policies. We may disclose information when required by law or reasonably necessary to address abuse, protect rights, or respond to a security incident. We do not sell or rent personal information or use it for targeted advertising.

Cookies and external websites

We have not added advertising pixels or third-party audience analytics to the public website. Hosting and security services may use cookies or similar technologies for essential functionality and abuse prevention. The site does not change its behavior in response to a browser’s Do Not Track signal.

Calendly, LinkedIn, and other linked websites may collect information and use cookies when you visit them, including for purposes described in their own policies. You can manage cookies through your browser settings; blocking necessary cookies may affect those services.

Retention and security

We retain business correspondence and records as needed for the inquiry, discovery work, ongoing relationship, and applicable legal or recordkeeping needs. Retention varies with the record and purpose. Our providers control retention of their own operational logs under their policies and settings. You can ask us to delete information we hold about you.

We use HTTPS and access controls to help protect information. No online service can guarantee absolute security. Our providers may process information in the United States and other countries where they operate.

Your choices and requests

You can ask to access, correct, or delete information we hold about you, or ask us to stop nonessential follow-up, by emailing hello@referraldeskcare.com. We may need to verify your identity before acting. We will handle requests under applicable law; some records may need to be retained for legal obligations. Additional rights may depend on where you live.

Describe the type of request and the email address you used to contact us. Do not send identity documents, passwords or patient details. If verification is needed, we will explain the next step. Requests cover records we control; where information must be retained, we will explain the limitation as applicable.

You can also use the cancellation or rescheduling link in your booking confirmation. Requests about a provider’s own records should be directed to that provider.

Patient information and children

This website is intended for adult business contacts, not patients or children under 13. Please do not send patient names, records, medical details, passwords, or other sensitive information through this website, Calendly, or ordinary email. Discuss workflows using examples that do not identify patients.

If you believe patient information or a child’s personal information was sent to us in error, contact us without repeating the sensitive details so we can address it.

Changes and contact
